Who operates the service
Kailinks LLC (United States) and KAILINKS S.A. de C.V. (Mexico) operate the HERO registration service. Contact KaiLinks through HERO support about your information, including if you need access, correction or removal. If you cannot sign in, use the support email below.
To correct or remove your information:
What we use and why
Google sign-in supplies your verified email, name and account identifier. HERO uses these to identify your account, recover access through Google and bind invitations to the intended person. HERO does not receive your Google password or retain Google access or refresh tokens.
Team and event records include names, emails, represented institutions or companies, roles, competition selections, safety and emergency contacts, guardian confirmations and image choices. We use them to administer participation, check eligibility and safety, communicate event information and record results. Contact and sponsorship forms retain the details you submit so administrators can respond. Do not send identity documents or bank credentials in enquiries.
Who can see information
Captains and invited team managers manage their teams. Co-captains can manage entries and rosters; assigned event staff review their event. Administrators manage the service. Joining a team’s private event view requires captain approval and can show the team roster and organiser announcements. The event team directory shows submitted team names and represented organisations. Confirmed Tokyo teams, team logos, institutions, participation lists and published placements can appear publicly. Personal email addresses, emergency contacts and private evidence are not public results.
Vercel hosts the application, Supabase stores private records and files, Google provides sign-in, and Resend sends configured service messages. Incoming support mail is forwarded through Cloudflare. Encrypted recovery copies are kept separately in KaiLinks’ Google Drive. These services may process information in countries other than your own; access remains subject to the configured service permissions.
Messages, images and your browser
Service messages concern your account, invitations and participation. The optional choice to receive HERO news beyond an event is separate and can be changed in the event’s private view. Participation terms and personal image permission are separate choices; image restrictions do not prevent participation.
HERO uses sign-in and abuse-prevention cookies, a language preference cookie, browser storage for your theme and unfinished registration edits, and temporary private event access in the current browser tab. Recovery of unfinished edits is limited to 24 hours; signing out clears HERO’s private browser drafts. The site does not install advertising or analytics trackers.
Season records and requests
The 2026–27 season ends with the Tokyo final. Season records remain available through 30 June 2027. Between 1 May and 30 June, captains can enter a next-season event or request account continuation. Without continuation the account becomes inactive; this does not itself delete records.
KaiLinks reviews information requests against the records needed to administer events, resolve disputes and meet applicable record-keeping obligations. Any retained recovery copy must remain protected; removing an active record does not immediately remove it from an older encrypted backup. Payments are not open in this release.
Participants under 18
The captain or team manager must obtain the required guardian permissions and provide the responsible adult and emergency contact required for the event. A parent or guardian can contact KaiLinks about a child’s information or image choice.
