Acceptance and authority
Submitting an event entry confirms that the captain or authorised team manager has reviewed these terms with the people listed in that entry and has authority to provide the team’s registration information. Every attendee must follow the event notice, the applicable technical rulebooks and instructions from authorised event staff.
Rules and safety
Teams are responsible for bringing compliant, inspected equipment and for declaring batteries, radio equipment and other items requested by the organiser. Participants must use required protective equipment, respect controlled areas and stop immediately when instructed. Event staff may pause or end an activity when conditions, equipment or conduct present a safety risk.
Open FPV simulator practice, when shown on a city page, is an introductory learning activity and is not scored. Formal simulation categories are separate HERO Explorer entries governed by the published simulation standards.
Conduct and event operation
HERO welcomes participants from different disciplines, institutions, ages and levels of experience. Harassment, discrimination, deliberate interference, unsafe behaviour and falsified results or documents are not accepted. Organisers may act to protect participants, the venue and fair competition, including removing a person from an activity when necessary.
Local organisers publish venue procedures, schedules, courses and offered challenges. Reasonable changes may be made for safety, weather, venue limitations or operational needs and will be communicated through the event page or team workspace.
Participants under 18
A participant under 18 must have permission from a parent or legal guardian and the supervision required by the applicable rulebook and local event notice. The registering captain or team manager confirms that the required guardian permissions have been obtained before attendance.
Photography and personal image
HERO events may be photographed, filmed or streamed for event documentation, education and communication. Registration asks for a separate team image choice; accepting the participation terms does not automatically grant unrestricted image permission.
- All participants consent: the team confirms that every listed person, and a guardian where required, permits event photographs and recordings to be used for those purposes.
- Image restrictions: the team can still participate. The captain must identify affected people to the organiser before the event so practical measures can be arranged.
A participant may contact HERO about future use of an identifiable image. Organisers will apply the request to material they control while keeping records that must be retained for event administration or legal obligations.
Registration information
Registration information is used to administer entries, safety, communication, qualification review and payment records. Team managers must keep names, contact details, roles and mission lineups accurate. The captain and invited team managers can edit their team; assigned event staff can review entries and receipts. Public results show team names and institutions, not personal contact details.

KaiLinks operates the HERO registration service. The 2026–27 season ends with the Tokyo final. Captains can register for a next-season competition or request account continuation from 1 May to 30 June 2027. Without continuation, the account becomes inactive after 30 June. Closing a season does not automatically destroy payment records or records needed for legal obligations or unresolved disputes. See the privacy notice for service providers, browser storage and information requests.
Fees and event changes
Any participation fee, optional activity, payment method, cancellation condition or refund condition must be shown for the specific event before payment is requested. Submitting an entry does not by itself confirm acceptance, qualification, travel support or a place at the Tokyo final.
